My client is begging me for a refund for my last basketball clinic!

Today I got a great question from a coach who is in Basketball and currently runs camps and clinics with his coaching business.

This Basketball coach asked me this question..

"Hey Ben, I've been running a lot of clinics over the past couple of months and my business is doing great! But the last clinic I ran I had three people who didn't show up and they're all asking for a refund now. What should I do?"

I was able to gather a lot more information from this coach and I asked him to send me over his website so I could take a look at it. I even asked him to send me over his payment page. After looking through both, I noticed that this coach didn't have a terms and conditions page in place for his business which means his business isn't protected.

If you currently run clinics and you're not clear with how you do business and you have parents who don't show up (which can be very likely) you have to have a clear policy in place that protects you if someone does not show up.   

There are multiple ways to do this, but first I would set up a page on your current website that has your terms and conditions page clearly laid out for all registrants to read. If you're a coach that uses Samcart which is my recommended software I use then at the top of the checkout page and on a video you can clearly talk about your expectations and your terms and conditions when parents sign up to your camps or clinics.  

This way when parents agree to your terms and conditions on the checkout page this will protect you when someone wants a refund when they aren't entitled to it. When a client agrees to your term you should take a screenshot of your terms and send it back to them which will quiet the conversation and avoid any future problems.

I see a lot of coaches who'll run these clinics and get a lot of people who drop out at the last moment and will ask for a refund. When you have high expectations and when you have terms and conditions in place your customers won't be able to control your business, instead you will have all the control as they have signed all the terms and conditions before the day of the clinic. 

If you protect yourself it won't matter if your customer shows up or not because once they register all sales will be final by that point and you will be able to run your business in a much more efficient way without letting your customers dictate your terms.
